Great service, hugely helpful for coaching and case management
Comments: I have been doing life coaching and small business consulting and am about to start doing mental health case management. I just got my LLC and am doing everything by myself. It's a lot of work, but companies like vCita, that do a few things really well, have been making it possible for me to put my business together. I have been extremely concerned for the confidentiality of my client information (who wants to be hacked, really?), but I have also needed to make sure I can get paid beforehand or store a credit card. vCita is HIPAA compliant, whichi s a huge relief, although I found out HIPAA compliance is only relevent if you deal with insurance companies, which I don't. Through emails over two weeks, Kylee K. has patiently answered all of my questions. With every answer, she has shown me how much vCita can actually do, how flexible it is, and how customizable it is. I am going to be advertising and launching in the next few weeks and I am confident that if I have problems, they shouldn't be with vCita.
Pros:
Easy to use, great customer support, and the articles for explaining things actually explain them, so you don't have to google it even after getting an answer. The things I asked about that they didn't have, Kylee gave me the link to a features suggestion forum for users and encouraged me to list the features there. She also invited me to beta test for an AWeber integration, so I would assume that asking about your email marketing provider would be a good way to let their development team know which ones to make API's for first.
Cons:
The only email marketing integration is Mailchimp and I have AWeber. This is annoying, but not a deal breaker. There is not two factor authentication for admin and users. I don't know that two factor authentication would be useful for clients, but I would really like this for account holders and anyone who can else who would be using it on the emplyee side. There is no way to sort clients by date since last appointment, appointment type, or anything else.

Setting Up for Your Business - Not easy at all!
Comments: It has been a pretty frustrating experience trying to get this running smoothly. I have spent SEVERAL hours/days trying to figure out glitches, workarounds, etc. I don't feel it's the right product for my company. I do plan to switch to another platform that will work better for my needs. I know they have tried, but I only get short timeframes to work with them and then I have to schedule another appointment. I would have rather paid a lot more money upfront to have them work on it until it was perfect. I have now given up because I'm just tired of it.
Pros:
I love the way it looks on my website. I am able to use the colors of my logo, etc. so it looks professional. I think customers like to be able to book on the spot. I think it's nice that I can approve each event. It helps me from doing back and forth phone calls. I like that it gets integrated with my gmail calendars that are shared with the employees.
Cons:
It is taking FOREVER to figure out how to set things up to streamline for my personalized business needs. Not sure this is the best platform for my business. I don't like how "wordy" it is in my gmail calendar. I wish I could customize things more, like addresses for instant. It requires them to put an address in, but it is not integrated to ensure it is a true address. We have gone to the wrong location multiple times. I have multiple services w/ 2 separate trucks. I find myself having to try to do a lot of workarounds that don't go well for the customers.I wish it was easier to use with Quickbooks. You can do a one-time sync but then it only syncs if customers get sent an invoice, and only a few details get synced over to Quickbooks. My CRMs don't match.

Pros:
What is fascinating about Vcita, it affects all sectors of activities. Instantly manages our invoice and saves us valuable time.
Cons:
Since I use Vcita , I don't find any problem. We would say that it has more advantages than disadvantages. But not against the monthly price to have it is high.

Comments: At first I absolutely loved it. The separate calendar has made it especially difficult and currently the sink is not working, so I am not able to see you on calendar in any place. This is created major problems for my business.
Pros:
I like how you can customize different meetings with a lot of detail. The user experience overall is pretty good.
Cons:
The sync snd recurring Meeting functionality needs work. If it doesn’t work all the time then we can’t rely on it. I really don’t like the fact that we have to have a separate for vcita feed rather than feeding into our Google calendar like it used to. It has added a lot of complexity to our end.

Comments: I needed a way for a small team to organize group classes, private appointments and lessons, communications with clients, and invoicing all in one tool. This does almost 95% of what I need, in one location.
Pros:
It contains all of our client information, calendar, scheduling, document sharing, invoicing and payments all in one convenient tool.
Cons:
When there are issues, they are usually epic and the support team isn't quick about fixing them (if they get fixed at all). The Marketing tool is very basic and isn't 'pretty' enough for my monthly marketing Newsletter.

I love that it's a thorough yet simple to use software. It's one of the first things a client or someone visiting my website mentions. They like widgets and say that it makes my website look put together and trustworthy. I LOVE that I can list my different services in sections and overall Vcita has great customer service. I look forward to exploring the software more and maximizing what it can do for my business success.
Cons:
I don't like the features that force a time limit for a service, some services I offer I cannot put a time slot per say, for example, a service I offer is custom earring making and I wouldn't necessarily have someone sign up for a time slot to get their earrings done BUT my way around that issue is I have it as a waitlist for folks to inquire about a custom pair and they can sign up that way.

Pros:
I needed software that could both schedule 1 to 1 services as well as group events. VCITA does both. I like that the appointment reminders can be customized.
Cons:
In the past I've had patients have trouble with rescheduling an appointment but this hasn't been an issue recently.

Comments: Really good, they are brilliant at helping you to set up and get going, as well as allowing you to personalise your site. Vcita works really well with my website, which gives me peace of mind. I have been complimented on it several times, as well as referring a few friends of mine to vcita.
Pros:
Its easy to use once you know how. I love the fact that new clients and appointments go straight to the app on my phone. I use the computer version to make any edits. Its a great way of personalising a payment website to your phone. I wish my app would keep me logged in all the time, sometimes I have to wait for an email before I realise I have a notification on the app.
Cons:
-Its quite expensive, and once you have upgraded our plan, you can't go back to a simpler plan. - If you want to add a staff member onto it its extremely expensive. I currently use it just for myself, but if I wanted to add someone , I would probably have to use a different company. -Its also very American! which I find sometimes very difficult to deal with, acronyms and wording is sometimes confusing. -I wish my app would keep me logged in all the time, sometimes I have to wait for an email before I realise I have a notification on the app. -Additionally some features are over complicated for what they do, sometimes simplicity is key!! Its very easy to overcomplicate things, therefore if Vcita was a bit more minimalist it would rank even higher that I already perceive it.

Comments: You need to manage a calendar with your clients (training, coaching, interviews), leaving them the initiative of meetings, product choice? This encourages their commitment. VCita offers you the possibility of a very fine follow-up of the customer relationship: email exchanges, appointments, orders, payments... by making moreover the link with your website. For me it is a very good solution. Fast implementation. This avoids many internal developments that are often inefficient or very costly. The extra efficiency with VCita at an affordable cost.

WAS CHARGED TO TRY THE SOFTWARE
Cons:
In order to test the product's capabilities that were needed for my business, I had to sign up for a monthly membership and upgrade my membership 3 separate times. Once I saw how mediocre the software is, I ruled it out, emailed customer service to cancel my trial, and continued shopping for a better software. A few days later, I again reached out to customer service about canceling my trail, and again for a 3rd time. Finally, I reached out for the 4th time and got ahold of someone who told me that the membership and upgrade fees weren't refundable. Also, when I started adding clients, during my trial, all of my clients received some bizarre message from VCita to join their client porthole. It is such an aggressive feature to automatically turn on. I wish I had never even messed with VCita.

You're perfectly right in saying that we could have responded to you sooner and we apologize that we couldn't reach out to you just when you needed us most. However, some claims that you make here are inaccurate. We have two subscription plans - yearly and monthly - and we clearly state on our pricing page and checkout process that our monthly plan doesn't come with a free trial period. However, following the call we've had with you on Thursday, we had fully refunded your account. We tried to get in touch with you several times but unfortunately, you weren't available to take our calls. We did leave you a VM, updating you on the refund. Finally, the message you refer to as "bizarre and aggressive" is a welcoming message that invites your clients to your clients portal, where they can book appointments, pay online, share documents, ask a question or view past interactions and transactions that they've had with your business. Sending this welcome message to clients is completely optional - you may choose not send it out. Again, we're sorry that vCita and our team didn't leave up to your expectations. We try our very best to deliver great service and experience to our users and I personally regret every failed communication with a client. Inevitably, not every communication is successful. We will, however, use your feedback to learn and improve our services to ensure that we are continually aligned with our clients' needs. Wonderful way to engage visitors to your website. I highly recommend for new practitioners
Comments: Love having my clients book online and syncs with Google calendar.
Pros:
1. Love the POP up on the website - engages visitors and my business grew because of it 2. I like the ability for my patients to schedule their own appointments and I can make recurring appointments 3. People can schedule with other team members 4. Syncs with Google Calendar 5. Works well on mobile
Cons:
1. On rare occasion the sync with Google calendar doesn't work and it messes up my schedule. 2. I ask for 48 hour cancellation but clients can still cancel last minute and the system lets them reschedule it even though the policy says they cannot 3. Email campaigns are rudimentary and are extremely cumbersome for those with over 500 mailing list and one cannot divide the blast based on metrics (the most active clients in the last 6 months, certain age groups etc.)

Good Place to Start for Small Business
Comments: Overall, Vcita helped us get our small business off the ground with the scheduling and billing features. It was a good place to start for our business.
Pros:
Calendar synch was helpful, scheduling and billing were easy to manage.
Cons:
Confusing layout, CRM features were not very robust, customer support was spotty.

I am not tech savvy but I can use this software and the customer service is excellent.
Comments: A complete online scheduling, email, CRM, event booking, stat tracking system. It's perfect for me.
Pros:
It's easy to learn and use for both myself and my clients. I can customize the communications and the reminders are great. I also like that I can book events through the software so I don't have to use Eventbrite or any other outside program. I get paid in two days rather than wait for Eventbrite to hold my money until the event is over. I love that I can choose whether or not I require payment for my different services. There's also an email component built in so I can communicate with my clients directly. It's very complete for what I want and need.
Cons:
I can't make admin changes from the phone app. I have to go into the desk/laptop version. It's not a big deal but sometimes I want to make changes to my settings when I think about them and have to wait until I can get to the full version .

The Lead Funnel Starts with Vcita
Comments: Contacts. Leads. Connections. Conversations. What more can a consultant ask for? I run a small business, and Vcita is my call center, appointment manager and more.
Pros:
This tool has been my number one go-to resource for lead generation. In my business, contact is king. Giving clients and potential clients an easy way to access my calendar, and set up a time to talk, is a central part of my business model. It links in easily with my website, you can see it in action at westfallonline[dot]com
Cons:
I wish that there was a link from email on iPhone to the actual software (app). An email link pops open the browser, and asks me to login. For some reason, my browser doesn't remember that Vcita and I have been dating for quite some time, and it asks me to login. Which causes me to open the app. Not sure if this is an iPhone issue, or an operator error, but I don't like the extra steps to confirm an appointment.

This software is easy to use and reliable. When a glitch occurs (rarely) support is quick to help resolve the issues. Also, time zone converter is critical as I hold Zoom meetings all over the world!

I love using the software since it's an all in 1 tool.
Cons:
I dislike the document feature because I should be able to open 1 file and continue scrolling into the next attached documents. When opening each file 1 by 1 I lose my placement and have to start all the way over while reviewing files.

Watch our for sneaky renewals
Comments: I normally don't post reviews, but I am exceptionally displeased with this company. As with most cloud solutions, they work on a subscription basis. Be very careful. When renewal time comes, they send you a ubiquitous email with the renewal notice hidden at the bottom... on a Saturday. Then then bill you on a Saturday so you don't have time to dispute the charges. And of course, they don't issue refunds.
Pros:
it worked for the one event I used it for.

They are a foreign company will scrupulous business practices.

Allison, I am sorry you have such a negative perspective on our business practices, but the information you provided is inaccurate. 1. vCita is a US company, with offices in Bellevue WA - you're welcome to visit us next time you're in the Seattle area 2. When you sign up for an annual subscription you get a 14 day free trial. At checkout, we are very clear of the date you will be charged for your annual subscription. 3. As a courtesy, we send an email reminder 5-6 days prior to your trial end date, and two emails before your annual renewal. 4. We don't charge our clients on Saturdays intentionally. We charge you 14days after you signed up, and then again a year after renewal. In your case it happened to be a Saturday I guess. 5. Our billing and refund policy is available online and included in our renewal emails. You are always welcome to come back and use vCita - we will help you customize vCita and make the most of your subscription.

Pros:
The software is very user friendly. It’s good for keeping your business up and running. CRM is very nice and the mobile app is convenient.
Cons:
It would be nice to see a permanent free version of this software. It offer a free 14 day trail , no credit card needed. That’s good but I would love to see it being available after 14 days for free.
